01 · Project overview

Connecting the people, paperwork, and processes behind every job.

Managing property and maintenance work involves more than assigning a task. Teams need to coordinate suitable tradies, monitor progress, exchange files, review invoices, and keep accounting records aligned.

JobTracking, also known as JTI, brings these activities together in one platform. Its reactive interface allows changes made by one user to appear for other connected users without requiring a manual screen refresh.

The platform also connects job activity with communication history, tradie documentation, and accounting workflows, helping teams work with more consistent and accessible information.

02 · Real-time collaboration

Work from the same information

Changes appear without the refresh button.

JobTracking is designed for teams that need current information throughout the working day. When a user changes job details or updates a workflow, other connected users can see the changes without manually refreshing their screens.

03 · Core capabilities

From the first assignment to the final invoice.

The platform brings essential job administration activities together, helping teams coordinate work and follow each assignment through its lifecycle.

Tradie matching

Find suitable tradies using their business information and proximity to the job site.

Job scheduling

Assign work, manage schedules, and track assignment status and estimated completion timelines.

Tenders and quotes

Select tradies for tenders or quote requests and share relevant job attachments to help them price the work.

Invoice approval

Review invoices submitted by tradies, approve or reject them, and keep supporting documents associated with the job.

Tradie compliance

Manage business details, licences, insurance documentation, expiry requirements, and other onboarding criteria.

Accounting synchronization

Synchronize relevant supplier, invoice, and payment information with connected accounting software such as Xero.

04 · Job lifecycle

A connected workflow from assignment to accounting.

JobTracking connects operational steps that would otherwise require teams to move between separate processes and records.

01

Create and assign

Create a job, define its requirements, and identify suitable tradies based on the job location and available business information.

02

Coordinate the work

Manage schedules, tenders, quotes, attachments, and job-related communication from the platform.

03

Review and approve

Review invoices submitted by tradies and approve or reject them through the job workflow.

04

Synchronize records

Approved invoice information and supporting files can flow into the connected accounting workflow, including Xero.

05 · Invoice management

Review once. Keep the job and accounting records connected.

Tradies can submit invoices through the tradie-facing system. Internal staff can review the invoice within JobTracking and approve or reject it. When approved, the related invoice information and file can flow into the accounting process.

Tradies upload invoice files through their portal.

Staff review and approve or reject invoices in JTI.

Invoice details and files remain associated with the job.

Approved invoice information and attachments can be imported into Xero.

06 · Communication & records

Keep job conversations close to the work.

Communication is more useful when it stays connected to the relevant job. JobTracking brings together phone records, emails, and supporting files to make historical information easier to access.

Phone call records

Support incoming and outgoing calls, with recording and job association capabilities.

Job-linked emails

Access relevant email conversations through a dedicated communication area for each job.

Historical communication

Keep useful correspondence available for future reference across customers, tradies, and other parties.

Automatic file association

Associate files attached to job-related emails with the corresponding job record.

Communication with context

Emails and call records can help staff refer back to discussions about inconsistencies, site hazards, special requirements, and other job-related matters. Recording access should follow the applicable privacy and consent requirements.

07 · Tradie management

Make business documentation part of the workflow.

JobTracking supports the management of tradie business information and required documentation, helping staff assess whether a tradie meets the requirements for working with a business.

Documentation requirements can be tailored to the business, including licences, insurance, terms and conditions, and employee details for personnel attending a site.

Time-zone awareness

Support teams working across regions by displaying job times in the relevant time zone, such as NSW and Perth.

Regional scheduling

Configurable tax rates

Accommodate different tax configurations for supported jurisdictions, including the Australian and New Zealand examples described for the platform.

Multi-region support
